Frequently Asked Questions
🌱 Do I have to be vegan to join?
You don’t need to be vegan, but during all scheduled activities and group meals, you must follow our vegan dining policy. That means no ordering animal products — including honey — at any restaurant, food stall, or event we’re attending together. If a guest repeatedly violates this policy, we reserve the right to remove them from the trip without refund. Guests book vegan tours to travel with like-minded folks, and we respect that.
💳 Why is the deposit so high?
Because we’re locking in hard costs — train carriages, special hotel blocks, and unique dining experiences — long before departure. This isn’t a flexible “hold my spot” kind of trip. Your deposit secures logistics across two countries. Your spot helps make this a reality for the whole group.
💸 What if I cancel or miss a payment?
Cancellations are fully refundable only within 14 days of your first payment. After that, your deposit is non-refundable unless we can fill your spot from the waitlist. If you miss a payment and don’t communicate with us, your spot may be offered to someone else — and previous payments will not be refunded unless we refill it.
🧾 Will I get a payment schedule?
Yes! The remaining trip balance is paid in two installments after your deposit. Due dates are clearly listed in our payment policy. If you’re struggling with a payment, just reach out in advance — we’re happy to work with you.
You can view the full payment policy at railsgonevegan.com/payment-policy. It includes due dates, cancellation terms, and everything you need to know before booking.
⏳ What happens if the trip doesn’t meet the minimum?
If the main trip doesn’t meet its minimum guest count by January 6, 2026, we’ll cancel the trip and refund all payments — including your deposit.
If the post-trip extension doesn’t meet its minimum by March 7, 2026, we’ll refund only that portion — but you’ll get a small credit for the processing fee applied toward your next trip payment (because we’re cool like that).
🤔 Can I get a refund if I don’t like the activities or hotel?
No — this is a pre-curated, all-included experience. We don’t offer refunds for missed activities, flight delays, or choosing not to eat what’s offered. While we hope you love everything, each element is prepaid and carefully arranged — so refunds can’t be provided for skipped or disliked portions.
🧍 What happens if someone is disruptive or unsafe?
We reserve the right to remove guests for the following:
- Use or possession of illicit drugs
- Harassment of other guests, staff, or the public
- Hate speech, discrimination, or offensive symbols (including clothing or accessories)
- Repeatedly violating the vegan dining policy
- Refusing daily check-ins
No refund will be provided, and we are not responsible for your travel onward.
🚫 What if I don’t want to join an activity?
You’re not required to join every activity, but for safety, a daily face-to-face check-in is mandatory. If you skip the day’s activities and we can’t reach you, we’ll follow up in person to make sure you’re okay.
🧳 Is this trip accessible to people with disabilities?
We strive to make this trip as inclusive as possible. If you require any accommodations, please contact us before booking. Note: The rooms on the sleeper train involve a ladder and one person must sleep on the top bunk. If neither travel partner is able to use the top bunk due to disability, there is one room reserved for this situation. Please reach out to us before booking. Please note that due to only one room being available, we may require documentation.
🚶♀️ How much walking is involved?
Expect 1–2 miles (1.6–3.2 km) of walking per day, sometimes on uneven surfaces, stairs, and in humid weather. Most activities are light to moderate in intensity.
Some days — like city tours or market visits — may exceed that range, while others are more relaxed. Everything is paced with plenty of stops (and snacks).
If you have mobility concerns, email us and we’ll walk through the itinerary together. We’ll do our best to accommodate your needs wherever possible.
🍽️ What if I have food allergies or dietary restrictions?
Please email us before booking. Due to limited ingredient sourcing and cross-contact risks, we cannot accommodate gluten-free requests during the Malaysia segment. For the Thailand portion, we may be able to assist — but you must contact us in advance so we can check with our partners.
🥢 Are all meals included?
Yes! Three delicious vegan meals per day, plus snacks, tastings, and treats along the way. We don’t skip meals here — we celebrate them.
🏨 What kind of hotels will we be staying at?
All accommodations are thoughtfully selected, and unique to each location. Star ratings may vary — and remember, stars only reflect amenities, not soul. Rest assured, you’ll be well taken care of in properties we’ve personally vetted.
🚆 Is the train private?
While the train itself is not private, we will have private carriages attached to a public train for two train segments of the trip. This includes a refurbished Japanese cafe car and a first-class sleeper. In Thailand, our Hat Yai to Bangkok sleeper train will have an extra carriage exclusively for our group. Dining will happen on board in a carriage with a real hot kitchen (not reheated boxes, promise). For the Bangkok to Chiang Mai portion, there will additionally be a private bar attached.
✌️ Can I join for part of the trip?
Shortened trips may be allowed in Malaysia only, and must be approved in advance. Pricing will be higher due to fixed group costs. Please email us to explore your options.
🌎 Do I have to pay in USD?
Yes. All payments are processed in USD. If you’re paying in another currency, your final amount will vary based on your bank’s exchange rate and fees.
📜 Are you a certified tour company?
Rails Gone Vegan curates the experience and coordinates logistics behind the scenes. We work with legally certified agencies and tour operators in both Malaysia and Thailand to run the day-to-day activities.
📲 How will I stay updated before the trip?
You’ll receive regular emails with everything you need — packing tips, visa reminders, and fun extras. No ghosting, we promise.
