Frequently Asked Questions
🌱 Do I have to be vegan to join?
You don’t need to be vegan, but during all scheduled activities and group meals, you must follow our vegan dining policy. That means no ordering animal products or food with animal products — including honey — at any restaurant, food stall, or event we’re attending together. If a guest repeatedly violates this policy, we reserve the right to remove them from the trip without refund. Guests book vegan tours to travel with like-minded folks, and we respect that.
🎂 What’s the minimum age to join the trip?
You must be 21 years of age on Day 1 of the itinerary.
💸 What happens if I need to cancel or miss a payment?
Deposits are non-refundable. If a scheduled payment is missed without prior communication, your reservation may be released to another guest, and any payments made will not be refundable. Please view the Payment, Cancellation Policy, and Terms and Conditions for additional information .
🧾 Will I get a payment schedule?
Yes. A non-refundable deposit is required at booking.
The remaining balance is due after the trip meets its minimum group size and will be collected according to one of the following schedules:
- If the trip meets its minimum group size on or before 1 August 2026, the remaining balance (total minus the deposit) will be due by 8 August 2026.
Exact payment amounts depend on the room category and occupancy selected at booking and will be provided by email once issued.
You can view the full payment policy at railsgonevegan.com/terms-and-conditions .
⏳ What happens if the trip doesn’t meet the minimum?
This experience requires a minimum of 8 confirmed guests to operate. If the minimum is not met by August 6, 2026, the trip will not proceed and all payments will be refunded. Please note that processing fees charged by the payment provider are non-refundable.
🤔 Can I get a refund if an activity or accommodation isn’t a good fit?
This journey is a fully curated, all-inclusive experience, with accommodations, transportation, and activities prepaid in advance. For this reason, we’re unable to offer refunds for missed activities, flight delays, or opting out of included meals or experiences.
While we thoughtfully design each element and hope you enjoy every part, refunds can’t be provided for individual portions of the trip.
🔁 Can I transfer my booking to someone else?
Bookings are non-transferable and must be used by the individual whose name appears on the reservation. All guests must travel under their own legal name for transportation and accommodation arrangements.
🪪 Will you need my passport details?
Yes. For rail and air reservations, and required passenger manifests, we’ll need your passport details, including passport number. This information will be collected from confirmed guests closer to departure and used strictly for booking and operational purposes.
Bookings must match the passport information provided, and substitutions are not permitted.
🧍 What happens if someone is disruptive or unsafe?
To ensure a safe, respectful, and enjoyable experience for everyone, we reserve the right to remove a guest from the trip if their behavior is disruptive, unsafe, or violates group guidelines. This may include, but is not limited to:
- Use or possession of illicit drugs
- Failing to comply with rail and air transit regulations, including bringing or drinking alcohol on board these modes of transit
- Harassment of other guests, staff, or members of the public
- Hate speech, discrimination, or disruptive symbols that reasonably interfere with the safety, comfort, or experience of other guests
- Repeated violations of the vegan dining policy
- Refusal to participate in required daily check-ins
In such cases, no refund will be provided, and any onward travel arrangements will be the responsibility of the guest.
🚫 What if I don’t want to join an activity?
Participation in activities is always optional. For safety and coordination, we do require a brief daily face-to-face check-in. If you choose to skip the day’s activities and we’re unable to reach you, a team member may follow up in person to ensure you’re doing well.
🧳 Is this trip accessible to people with disabilities?
We aim to make this journey as inclusive as possible and are happy to discuss accommodations on a case-by-case basis. If you have accessibility needs, we ask that you reach out before booking so we can confirm what’s feasible and ensure a comfortable experience.
🚶♀️ How much walking is involved?
Walking varies by day and location and may include uneven surfaces, stairs, and humid weather. Most days involve light to moderate walking, paced with regular breaks.
Some days — such as city explorations or market visits — include more walking, while others are more relaxed. We build in plenty of stops (and snacks).
If you have mobility concerns, please email us before booking and we’ll walk through the itinerary together to see what accommodations may be possible.
🍽️ What if I have food allergies or dietary restrictions?
Please contact us before booking if you have food allergies or additional dietary needs. All meals on this journey are fully plant-based.
At this time, we’re unable to accommodate gluten-free requests. If you have other allergies or restrictions, reaching out in advance allows us to confirm what accommodations may be possible.
🥢 Are all meals included?
Yes! Three thoughtfully prepared vegan meals are included each day, along with snacks, tastings, and treats along the way. Meals are a central part of the experience — and we love celebrating them.
🏨 What kind of hotels will we be staying at?
Accommodations are thoughtfully selected and unique to each location. The majority of stays are at five-star boutique or luxury properties chosen for comfort, character, and location.
In the highlands, our stay is intentionally simple and nature-focused, offering private rooms with essential comforts so the surrounding landscape and quiet can take center stage.
👯 Do you offer roommate pairing?
If you are seeking a roommate, please email [email protected]. We will let you know if there is a roommate pairing. Information regarding room type and deposit rate for roommates is listed here: https://railsgonevegan.com/malaysia2026-booking/
🚆 Is the train private?
The train itself is a public service, but we reserved a dedicated carriage exclusively for our group during our rail journey. This allows us to travel together in comfort, with reserved seating and a curated onboard experience.
Note: This varies on availability. If unable to secure a private carriage, a partial refund will be issued. If this occurs, all of those in the group will travel business class seating, and in the same train car.
✌️ Can I join for part of the trip?
At this time, we’re unable to offer partial participation. This journey is designed as a cohesive, fully curated experience, with logistics and group arrangements planned around the full itinerary.
🌎 Do I have to pay in USD?
Yes. All payments are processed in USD. If you’re paying in another currency, your final amount will vary based on your bank’s exchange rate and fees.
📜 Are you a certified tour company?
Rails Gone Vegan curates the experience and coordinates logistics behind the scenes. We work with legally certified agencies and tour operators with MOTAC certification (Malaysia’s Ministry of Tourism, Arts, and Culture) to run the day-to-day activities.
📲 How will I stay updated before the trip?
You’ll receive regular emails leading up to departure with key details such as packing guidance, logistics, and helpful reminders. We’ll make sure you have the information you need at each stage of the journey.
